Travel Information

Documentation

All passengers require a valid passport for international travel. Your name on your passport must be an exact match your air ticket. Please make sure your passport is valid 6 months after your completed date of travel.

Flights

We have cancelled our group air space we were holding. If you require air reservations, please contact us with your departure city and dates and we would be happy to provide you with schedules and prices.

Please remember that passengers will be permitted to bring liquids, gels and aerosols through security screening at Canadian airports provided that the items are packaged in containers with a capacity of 100ml or less, and that the containers fit comfortably in one clear, closed and re-sealable plastic bag with a capacity of no more than 1 litre (1 quart). One bag per passenger will be permitted.


Group Flight Schedule

No longer available.

Any airline frequent flyer number(s) must match the name(s) of the person who is traveling. That passenger is the only one who can accumulate mileage points, and another person's number is not valid. At check-in, please verify that your number has been received by the airline. Airline frequent flyer points cannot be applied against the cost of these group airfares. We advise you to keep your boarding passes until you get your statement with the appropriate mileage update.

Bicycles

Two pieces of checked luggage (1 suitcase & 1 bike) weighing 23kg or 50lb each are allowed. Bike carriage is no longer free with Air Canada. There is a $50.00 charge per direction for bikes payable at the airport. Your bike must be packed in a secure box or container suitable for traveling.

Prior to arrival at the airport: fix the handlebars sideways and remove the pedals. Place the bicycle in a rigid and/or hard shell container specifically designed for shipping. If not packaged in a container, Air Canada will provide a plastic bicycle bag and will accept the item with a limited release form (to be signed at check-in), releasing Air Canada of liability. Bicycle suitcases containing collapsible bicycles are also accepted.

Transfers

Taking the train is the best way to get to Rimini. Train schedules are available through Rail Europe and Heartland Travel. Please contact Heartland Travel for information on transfers.

Remember that a transfer information package will be provided to all athletes who have booked with us after final payment has been received.

Accommodation:  Hotel Biancamano

The Biancamano Hotel is located in the heart of Rimini Marina Centre, a few steps from the renowned Fellini Park. Only 50 metres from the sea, this 3-star hotel represents the ideal destination for people who are looking for an unforgettable stay.

The hotel offers: complimentary secure parking, wireless Internet, 24-hr front desk, elevator, American cocktail bar, 24-hr business facilities, outdoor swimming pool, complimentary use of bicycles to ride to the city centre (approx. 1 km away), room service, laundry facilities, safety deposit boxes at check in counter, and an on-site restaurant.

We have single rooms, double/twin rooms and triple rooms available. The maximum occupancy in a single room is one person, double is two people, and the triple room is 3 people. Room amenities include: air conditioning/heating, opening windows, desks, iron/ironing board, private balconies, satellite TV, hairdryers, in-room safe, minibar, and a private bathroom. The nightly rate includes a full buffet breakfast, (secure) parking, taxes, and wireless Internet. Check in time is 2:00pm and check out time is 10:00am. Note that there are no adjoining rooms available at the hotel. If you wanted to stay close to someone, please let us know and we will make a request to the hotel on your behalf but there are no guarantees.

Room configurations are: single room is one bed, double room is either a room with two twin beds, or one double bed, and the triple rooms have either three twin beds, or one double bed and one twin bed. Note that we have a secure room available for equipment/luggage storage should anyone wish to use it.

Our room block is from September 22-September 29. If you were wanting to arrive a day or two earlier and/or stay a day or two longer, please contact us and we can request this to the hotel on your behalf.

Limited types of rooms are available. Room types will be reserved upon a first come, first served basis.

Note: If you have your own air, you can purchase accommodation only through us (subject to availability) as well as travel insurance. Please fill out a travel request form and send it in to us.

Optional Insurance Package

Insurance coverage is strongly recommended. Please note that for some previous competitions, passengers declined insurance and subsequently had to cancel their travel plans due to unexpected accidents. Air and hotel cancellation penalties took effect and considerable sums of money were lost . See what type of coverage is applicable for you and then make your decision accordingly. Note that the amount of coverage provided for baggage and personal effects is usually not enough to cover the value of your bike. The insurance offered here is not designed to cover high-valued items such as bikes, cameras, jewelry, etc. These items should be covered separately on a dwelling or homeowner's policy. Talk to your local insurance company about this coverage. Break down the cost of insurance for your trip based on a per-day basis, and you will see that it is economical coverage that also buys you piece of mind.

1) Deluxe Package Insurance

This insurance covers you for emergency medical costs that you may incur while out of Canada; it also covers for any cancellation penalties you may be required to pay in the event that you have booked and paid for everything, and then cannot go due to an unexpected medical reason. The key word is “unexpected”. The insurance will not cover for existing medical situations, or if you simply change your mind and you decide not to go. In addition, the insurance will also cover you if someone in your immediate family becomes ill, due to unexpected medical reasons, and this prevents you from traveling. The terms and conditions are as per RBC's Insurance policy. In the event of a claim, RBC Insurance will require a doctor's certificate to substantiate the claim.

Deluxe Package Insurance covers for the following:

  • Trip cancellation & interruption
  • Subsistence allowance of up to $3500.00 at the destination if you cannot return as originally scheduled
  • Unlimited hospital and medical coverage
  • Air flight accident insurance up to $100,000
  • Travel accident insurance up to $50,000
  • Baggage and personal effects insurance up to $1,000.00 (subject to a maximum value of $500.00 for any one item or set of items), and delay of baggage up to $400.00

2) Non-medical Package Insurance

This option is for those who already have out-of-country medical coverage. You are insured for everything that the Deluxe Package covers, as shown above, except for unlimited hospital, medical expenses.

Cancellation and Interruption insurance is also available separately. Please contact us for a price for these rates.

Remember that the prices vary when you factor in your airfare costs, your age as well as the number of days you are away. The terms andconditions are as per RBC'S Insurance policies. Policy exclusions apply as far as pre existing medical circumstances are concerned.

 

Payment Schedule

Deposit

A fully completed Travel Request Form, including credit card information, is required to reserve your air and/or hotel space. Incomplete forms will not be processed. All athletes booking with us must fill out a travel request form. A non-refundable deposit of $300.00/person is due at the time of booking, as well as the cost of insurance if that option has been selected. We will respond to all fully completed Travel Request Forms and confirm your booking request.

Final Payment

Full payment is due July 31, 2008.

If space is available, reservations after this date require full payment at the time of booking.  Payment for the airfare, insurance, and/or hotel accommodation can only be made by certified cheque, Master Card or Visa.

Changes after July 31, 2008

After confirmation and final payment has been taken for your booking, any name changes or changes to the hotel arrangements are subject to a $50.00 change fee. Once ticketed, the airfare is subject to the airline's change/cancellation fees.

Cancellation Charges

From July 31, 2008 to day of departure - Total package (air and/or hotel) is non refundable. There is no refund for unused hotel nights or other prepaid travel services. Cancellation Insurance is strongly recommeded.
